A presentation is more than just slides. This is a whole program with a script that helps convey a single meaning and present information more clearly, vividly and interestingly.
Nowadays, presentations are needed by every person speaking in front of the public, be it an official, a designer or a manager. And all because this kind of slide show is considered a kind of language in the business world. You also need to learn to speak it, because the more pleasant your speech, the easier and simpler it is to understand you and accept information.
Why create presentations and why are they so important
Presentation can be used for a variety of purposes and for a variety of audiences. Everything is in order to convey information, thought and encouragement to action. Speech without examples is perceived as dry, boring, and sometimes not at all understandable. Visual materials are often underestimated, but they are the ones that enliven, dilute and complement your script. Thanks to them, you can easily convey statistical, theoretical and practical information to your listener.
Among other things, a good presentation allows you to retain the client's precious attention. She does not let a person become sad, catches his attention and holds him until the end. Thus, you can instill in the listener almost any idea, which should soon lead to the logical conclusion that your product is the best.
Don’t forget that first of all, the presentation should show exactly how the service or product satisfies customer needs and why you do it better than others. The speech as a whole should set you apart from your competitors and encourage the listener to turn to you for a service or product. Therefore, it is necessary to conduct an in-depth analysis of not 2-3, but more than 10, and preferably 15 direct and indirect competitors.
With the help of a presentation you can tell about anything and anyone. It will only bear fruit if everything is built competently and consistently. It’s best to start with a small presentation “about yourself” and smoothly move on to the product or company. We will discuss the structure of the presentation in more detail below.
Topic and purpose
Before you start developing a service presentation, it is important to answer the questions: “What do you want to convey to the client? Why should he buy this product from you? What are your advantages? What benefits will the client receive? Decide on the topic of the presentation, the purpose, and then correctly arrange and justify the arguments.
It is difficult to listen to a person when he, without properly formulating the topic, jumps from one thought to another. This is how empty talk, “monologues about nothing” are born. Having chosen a good topic, you can easily explain it and convey the idea in ten lines, and the structure of the service presentation will build itself without much effort.
If the topic is very broad, we recommend narrowing it down. This way you will have a logical, clear presentation of information.
Once you decide on a topic, a goal will appear. The most important thing is that it is specific and understandable to anyone. Your goal is not just “to give a good presentation,” but to convey to people how a specific service will satisfy their basic consumer motives, to create the right emotional image of what the client will receive by using your product. You need a specific indicator of the quality and superiority of your information, product, services among competitors, and this fact must inspire undeniable trust.
To convey your wishes as quickly and clearly as possible and to increase the degree of trust in your words, you can use the construction during the presentation: “I want you to do ... for the sake of an experiment.” Insert in place...any necessary action relevant to your presentation. These should be those actions, after which a person will be convinced of the correctness of your words.
Before creating your presentation layout, it is also important to find out who your target audience is. This will allow you to select the necessary fonts, primary colors and, most importantly, presentation. For each type of person, the presentation should be structured differently.
Several rules for presenting information through a presentation
Scenario
The goal is what you want to convey to the person, and the script is the path along which you will convey your idea.
First, the listener needs to be interested, then guided, and only then given food for thought. You can’t throw information around in chunks, without consistency. Every story has a clear structure. It may change depending on the purpose of the text, but the overall picture remains the same.
At the end of the presentation, leave some time for questions and summaries.
From general to specific
A person's attention is most concentrated in the first seconds. Therefore, the beginning of any story should be of interest and intrigue. If you ignore a spectacular beginning, then it will be very difficult to keep a person’s attention. In other words, you must motivate the listener to stay with you. To do this, explain the benefits he will receive from the presentation, ask a leading question, or provide a non-obvious fact.
Gradually move from the general to one clear idea that resonates with the purpose of the presentation. Theses will help with this. It is very useful to draw a conclusion at the end of each short story, to show what you want to teach. You can also use an antithesis and show a person what not to do, what will happen in the opposite case.
You also need to be able to finish a presentation. Remember the main goal of the presentation, namely to sell the required action. After presenting the service, move on to the next stage of sales, invite the client to take the action you need. This could be writing a commercial proposal, distributing an invitation to a viewing, or arranging for a technician to visit your home. Use any appropriate means to involve the customer in the process of using the product.
Brevity is the sister of talent
A great talent is the ability not to overload a person with facts and empty words at presentations and lectures and at the same time provide truly valuable and useful knowledge.
Before you start creating a presentation, remember that the slides should contain a minimum of words. If you're talking about numbers, don't write all the information about the 43% increase in sales over the last six months. Just write the number 43. Tell all the necessary details, and gradually insert keywords into the slide. The listener will have time to switch to another fact without losing touch with the first. And it is very difficult to read and process capacious information written in more than 10 words and at the same time listen to the speaker.
Remember the rule: one slide – one thought.To calculate how much information you can fit into a presentation, spend just one minute on one slide. Then, during a 20-minute speech, you will have time to make an introduction, convey 17 thoughts, joke a couple of times, summarize and finish.
Remember that making a presentation of a service is not so easy, so each slide should be consistent and of the same type, while including unique elements.
Fonts
If there is not a lot of text, then there should be few fonts. For a typical presentation of a new service, one main font and perhaps a second font for headings will suffice. They can be from the same “family” with different designs, or completely different. The main thing is to choose a good font pair that will look decent in this combination.
It is often better to choose simple sans-serif fonts, which are very easy to read from any distance. To check this, simply open the slide in full screen, step back 4 steps and try to read. Good fonts are easy to read and do not hurt the eyes.
Color and image
Finding images is one of the last steps in creating presentations. You can start searching for the images you need only after you have decided on the colors, required information, and worked out the structure of the presentation.
Photos, images, icons should complement the information, but not distort or distract from it. If the image matches the colors and location, but does not carry any additional information and serves as decoration, throw it away.
If your company has developed a corporate style, then you can use corporate colors. But this rule can in rare cases be broken. For example, if your colors are blue and white, yellow and white, black and blue, they will be clearly visible on a Retina screen, but poorly on a projector or monitor with poor color reproduction, and there are not as few of them as it seems.
Black and white are the most contrasting colors, but even now white and 70% gray are used more often. If you are afraid of making a mistake, you always have the opportunity to use free services for checking the contrast of individual elements and text images.
In addition to contrast and combination, it is important to note their quantity. Two is enough. This is not a website or a magazine where they choose a whole palette. The third could be white or black, or an approximate shade of one of the two colors you choose.
Arrangement of elements
It is very important not to throw information at different points on each new slide. If you have a simple and clear sequence or pattern for placing information on a slide, stick to it. Thus, the reader’s attention will not be scattered and he will intuitively feel where to expect the next information.
The well-known rule of thirds is also suitable here, when the canvas is divided into 3 parts in height and width, and important information is placed at the intersection of the guide lines. This feature is often used in many areas and for good reason; it helps to attract and fix the attention of the human brain on the details you need.
How to make a presentation of services yourself
Everyone can try to do everything on their own. The most commonly used graphics programs are PowerPoint and Keynote. Also, if you are not a beginner and know how to work with Adobe package programs, many opportunities open up before you. Work done in Photoshop or InDesign looks interesting and sells itself.
